Output Management at AOK Rheinland/Hamburg

Efficient Template Migration and High Degree of Automation

Client

AOK Rheinland/Hamburg was established on July 1, 2006 through the merger of AOK Rheinland and AOK Hamburg. It serves more than 3 million insured members in the administrative districts of Düsseldorf and Cologne in North Rhine-Westphalia as well as in Hamburg. As the largest statutory health insurance provider in these regions, AOK Rheinland/Hamburg offers a wide range of healthcare services. It is one of eleven regional, independent health insurance funds that together insure around 27 million people across Germany. The Output Management project was implemented by AOK Rheinland/Hamburg in collaboration with msg.

Challenge

The migration of the entire template landscape presented several aspects that required optimization. These included prioritization, infrastructure considerations, training needs, and implementation strategies. Resource planning was also a key factor: template developers needed to be evenly utilized while taking into account parallel projects, onboarding phases, and different go-live scenarios. Through targeted coordination, these factors were aligned to ensure a smooth and efficient migration.

Objective

The objective of the project was to achieve an efficient and structured migration of the template landscape. This included project management and coordination, as well as sub-project leadership for professional template development and project controlling. Another focus was the creation and enhancement of templates, supported by best-practice approaches and tailored assistance in template development and design. In addition, the Jira request workflow was to be designed, implemented, and continuously improved in order to optimize the overall process. A further project goal was the development and delivery of training sessions for business departments to ensure that all stakeholders could use the new processes and tools effectively.

Solution and Benefits

The project significantly increased efficiency in the development of new document templates. Optimized processes enabled faster and more structured creation and adjustment of templates. Furthermore, a high level of automation and straight-through processing was achieved, minimizing manual interventions and accelerating overall workflows. This has led to a sustainably improved way of working and a more efficient use of resources.
